Although the majority of bulk Government postal communications are centralised, a significant proportion of Ad hoc post is still produced at the desktop. This is typically the most expensive and time consuming method of producing post and lacks auditability and compliance

The Publisure solution addresses this problem by providing Users with a simple alternative printer option which is used to ‘post’ outbound correspondence. It can be deployed as a network printer driver and is ideally suited to capturing and centralising the production of ad-hoc documents normally produced at the desktop.

The moment a document is submitted to Publisure it is allocated a unique ID which is used to monitor and audit its progress at all times. Publisure Users also have access to a personal ‘post box’ within which they can view the status of every document they have submitted. The post box also provides users with the ability to place a document on hold or recall it from the postal process. For documents that require a manager’s authorisation prior to posting, Publisure provides a simple approval process. Typically, at the time of submission, the User selects an authoriser from the options menu, together with an optional expiry time, and submits the document for approval. The approver is notified and logs in to their post box where they can then approve or decline the posting.

In addition to the substantial savings made by removing the task of creating items to be posted from the desktop, departmental productivity is also improved. The Publisure process also removes the need for stationery such as envelopes and paper to be procured and stored within the department.

Publisure Hybrid Mail technology enabled outbound Council correspondence, generated by Civica, to be submitted to the Publisure hub by substituting the Windows printer with a Publisure printer. Publisure functionality meant that digital letterheads and inserts, could be added to the primary pack. By centralising all outbound correspondence and removing the task from the departments, the council enjoyed volume based postage discounts and increased productivity.
